It's easy to use and structured the way you think and work.On an administrative level, Ayudasoft IMMU enables organizations working with students in study abroad and service programs to create, collect and analyze information and media in real time from students working on disparate programs through a database driven, web based, paperless system. Ayudasoft IMMU is hosted on a third party server and can be linked to an internal server through a VPN.
From a data entry perspective, Ayudasoft IMMU is structured so that students are able to input personal, program, outcomes and media information through a series of "Views". These views are continually accessible via top navigation and guide the student through the information and media capturing process like a conversation. The information you hope to capture from an organizational perspective within each view can be modified per your needs. Each view includes easy-to-understand instructions with illustrations, a powerful glossary, and helpful hints whereby limited to no training is needed.
Generally speaking, the Views are arranged in ascending detail and complexity. The views are as follows:
Summary View:
This view is a "dashboard" that captures all of the student, program, progress/deliverables, outcomes and media information from students in a user-friendly and instantly searchable database. For example, study abroad administrators are able to categorize information by program, by student, by university, geographically or by community impact area. This view allows administrators to evaluate, analyze and market by either looking at the "big picture" or by drilling down to the smallest detail. The need dedicated administrative staff, for saving information on a desktop or searching for files in a cabinet is eliminated with a secure and remotely accessible database whereby the student inputs pertinent information in real time. The Administration View is the ultimate strategy tool for study abroad administration to capture their student's progress and impact, to assess the value of programs and to promote their student programs to all current and potential participants, personnel, management and program funders.> click to view a larger image
Student View:
This view prompts for basic information about the student. Background information, experience, skills, class work and motivations/goals is entered in this view by the student regardless of the specific program. General information contained on this page is applicable for all appropriate programs, outcomes models and media.> click to view a larger image
Program View:
This view prompts for detailed information about the specific program(s) the student is engaged in through a series of tabs including organizational information, class work subject matter, goals and objectives, beneficiaries of volunteer projects, key features as well as both interim and final progress reports. An student engaged in multiple study or service programs can easily switch between individual Program Views for each separate program. Interim progress reports can also incorporate data from the Outcomes View for completed outcomes as required.> click to view a larger image
Outcomes View:
This view is a series of pages used to help the student and key staff/educators both design and input the Logic Model Outcomes framework for the program(s). Students can create one, two or even ten or more logic models using this step-by-step tool. As with all aspects of the software, the student can enter information out of sequence, inputting data as it becomes available and in whatever order makes sense for the individual user. Logic models can be specified based on what the student is aiming to achieve. For example, a student participating in a summer program in Costa Rica may build separate outcomes models for Spanish language, culture and service learning projects. Each outcomes model could include short term, intermediate term or long term outcomes per the program parameters. Class work, evaluations and deliverables created in Word or Excel can up loaded and stored for easy access by all parties.> click to view a larger image
Media View:
This view allows the student to create rich media presentations related to programs he/she is participating in. Using program and outcomes information as a guide, the student will know exactly what to include in the slideshows and storyboards. Slideshows are intended to be utilized as a visual demonstration of impact, activities, outcomes, et al. with short captions to give a quick overview of the students work, a program or an aspect of a program. Storyboards are intended to provide longer descriptions that accompany images for a more in depth insight into the students time studying abroad. In both cases, the web-based interface allows students to easily upload, resize and reposition images within the browser. Rearranging slide order is as easy as dragging and dropping image thumbnails. Media can be built in MINUTES not hours and students can create multiple slideshows and storyboards, each with a dedicated link that can be embedded in an existing website or emailed as a standalone link. In addition, the student can upload other media such as videos to an "Other Media" tab to leverage all relevant elements in one convenient location.> click to view a larger image
Publish View:
This view allows the student to publish information from the views to the study abroad administrative database in an organic fashion. The student saves information on the system as information is entered but only publishes and allows the administration to see information when views are completed. For example, the student can publish only the student view whilst still working on and saving the program view. This feature allows the student to input data step by step and avoid having to complete everything at once before publishing. As well, after publishing the student can disable the published material to recall information and edit as needed if modifications are made/requested or mistakes are noticed.
