It's easy to use and structured the way you think and work.On an administrative level, Ayudasoft IMM enables granting organizations to collect and analyze information and media in real time from agencies through a database driven, web based, paperless system. This administrative database management interface allows professional staff to sort and prioritize agency and programmatic information from up to hundreds of agencies instantaneously once data been submitted/published. Ayudasoft IMME is hosted on a third party server and can be linked to an interal server through a VPN.
From a data entry perspective, Ayudasoft IMME is structured so that agencies individually input agency, program, outcomes and media information through a series of "Views". These views are continually accessible via top navigation and guide the user through the information and media capturing process like a conversation. Requested information within each view can be modified per the client's needs. Each view includes easy-to-understand instructions with illustrations, a powerful glossary, and helpful hints whereby limited to no training is needed. After completing required information, agencies "publish" information on a view by view basis to the granting organizations administrative database.
Generally speaking, the Views are arranged in ascending detail and complexity. The views are as follows:
Summary View:
This view allows a funding organization to get an instant overview of all of the programs in the funding portfoliio. Programs can be sub-divided into categories or initiatives. Current approved funding can also be set here and then instantly transmitted to the individual program. This view is an invaluable tool to help organizations manage funding and gauge the return on their investment by monitoring progress in real time.> click to view a larger image
Organization View:
This view prompts for basic information about the agency regardless of the specific program. General information contained on this page is applicable for all programs, outcomes models and media.> click to view a larger image
Program View:
This view prompts for detailed information about the specific program to be funded in a series of tabs including budget, proposal and progress reporting. An agency with multiple programs can easily switch between individual Program Views for each separate program. Interim progress reports can also incorporate data from the Outcomes View for completed outcomes as specified by the program manager.> click to view a larger image
Outcomes View:
This view is a series of pages used to help the user both design and input the Logic Model Outcomes framework for the program(s). Agencies can create one, two or even ten or more logic models using this step-by-step tool. As with all aspects of the software, the agency can enter information out of sequence, inputting data as it becomes available and in whatever order makes sense for the individual user. Logic models can be specified as either short, term, intermediate term or long term as the user desires.> click to view a larger image
Media View:
This view allows the agency to create rich media presentations related to its programs. Using program and outcomes information as a guide, the user will know what exactly to include in the slideshows and storyboards built this tool. Slideshows are intended as primarily visual with short captions to give a quick overview of a program or an aspect of a program. Storyboards are intended to provide longer descriptions that accompany images. In both cases, the web-based interface allows users to easily upload, resize and reposition images within the browser. Rearranging slide order is as easy as dragging and dropping image thumbnails. Users can create multiple slideshows and storyboards, each with a dedicated link that can be embedded in an existing site or emailed as a standalone link. In addition, the user can upload other pre-existing media to an "Other Media" tab to leverage all relevant elements in one convenient location.> click to view a larger image
Publish View:
This view allows the user to publish information from the agency, program and media views to the funding organizations administrative database in an organic fashion. The user saves information on the system as information is entered but only publishes and allows the funding organization to see information when views are completed. For example, the user can publish only the agency view whilst still working on and saving the program view. This feature allows the user to input data step by step and avoid having to complete everything at once before publishing. As well, after publishing the user can disable the publish to recall information and edit as needed if modifications are made or mistakes are noticed.
